Test the workflow and the controls
Use representative tasks, roles and data during evaluation. Confirm permissions, audit history, authentication and administrative ownership. A product that suits an individual trial may create problems when teams, contractors and sensitive information are involved.
Calculate the full commercial model
Include implementation, training, integrations, usage charges, storage, support and expected price changes. Understand what happens when user numbers grow or activity spikes. A lower starting price can become expensive when essential controls are sold separately.
Plan portability before signing
Ask how data, files, settings and history can be exported. Review deletion, retention and transition support. Portability is not only an exit concern; it also determines whether the service can participate in a wider technology architecture without creating a permanent silo.
